If the most important individuals are unavailable, perhaps on vacation or out of the country, you might wait a bit in order to involve them first.

Scheduling meetings of the capital campaign planning committee.
You will also want to schedule 3 or 4 subsequent meetings.
The timetable for these meetings needs to be tight enough to create a sense of urgency and accomplishment but also provide enough time between meetings to refine planning documents.
Typically these meetings would be conducted over 3-4 weeks.
If your committee members are scattered across the country, then you need to schedule the planning process to minimize travel.
In this case, the meetings might be scheduled as a 2-3 day retreat.
To help your recruiters, write all of the relevant information about the purpose of the meetings and the dates and times in a clear, concise document to present to them at the beginning of the process.
